How to add an order

(Applicable to: Tailor, Salaried Agent, Freelance Agent)

Creating an order in DressMeApp follows a structured, step-by-step flow to ensure completeness and accuracy.

  • Navigate to Orders using the left navigation menu.
  • Click the “+ Add Order” button to start a new order.

Step 2: Customer selection & measurement check

Section titled “Step 2: Customer selection & measurement check”
  • Begin typing the customer’s name in the search field.
    • If the customer exists, select the profile from the list.
    • If the customer does not exist, click “Add New” to create a new customer profile in a pop-up window without leaving the order flow.
  • Verify measurements:
    • For existing customers, review and update measurements using the “View / Add Measurements” option.
    • For new customers, the system enforces measurement entry to ensure no order proceeds without sizing data.
  • Order Currency: Select the currency for the transaction. This is particularly useful for agents operating across multiple countries.
  • Shipping Destination: Define where the finished garment should be delivered:
    • Customer Address
    • Agent Address
    • Custom Address
    • Shipping Not Required (Pickup)

Click “Add Product” to open the Product Configuration pop-up. For each product:

  • Select the Product Type (Men’s Suit, Jacket, Trousers, Shirt, or Other Product).
    • Other Product is a catch-all category for non-configurable items such as ties, socks, shoes, or accessories.
  • Complete the configuration:
    • Manufacturer: Select an existing manufacturer or, if you are a Tailor (Admin), create a new one inline.
    • Fabric: Choose from the existing fabric library or dynamically add a fabric by uploading or taking a photo (subject to permissions).
    • Garment Details: Specify design options such as lining, style, lapels, cuffs, pockets, vents, and other product-specific attributes (all specific for each product type).
    • Monogram: Add optional monogram text and placement.
    • Pricing & Quantity: Define unit price and quantity.
      • Use the price visibility toggle to view indicative manufacturing cost versus customer price, depending on permissions.
    • Visuals & Notes: Attach images and add notes linked to specific visuals or to the order in general.

Repeat this step to add multiple products to the same order.

  • Save the order as a Draft or click “Complete Order.”
  • Upon completion, a summary pop-up is displayed for final review before proceeding with payment.
  • Scenario A: Stripe / Subscription Not Set Up (e.g., Free Trial)
    • A warning message is displayed, but the order can proceed.
    • A cart summary is shown, allowing last-minute adjustments.
    • Prices are displayed in both the user’s base currency and the order currency.
    • No payment is collected through DMA; payment must be handled offline (Cash, POS, Bank Transfer).
  • Scenario B: Stripe / Subscription Set Up
    • Send Payment Request: Sends a secure payment link to the customer via email.
    • Pay Now: Allows the customer to enter card details directly on the agent’s device.

These are two alternative payment options. The user must choose either Send Payment Request or Pay Now for each order; the options are mutually exclusive and serve different sales scenarios.

Step 6: Approval, status & production workflow

Section titled “Step 6: Approval, status & production workflow”

Once the sale is completed, the order status and payment behavior depend on the user role and approval permissions.

  • Tailor or Agent with Self-Approve Sales = NO:
    • Payment is authorized and held for up to 7 days.
    • Order status moves to Awaiting Review.
    • Within the review window:
      • Approval collects the payment and moves the order to Finalizing Production.
      • Rejection releases the payment and cancels the order.
      • No action results in automatic rejection after 7 days.
  • Tailor or Agent with Self-Approve Sales = YES:
    • Payment is collected immediately.
    • Order moves directly to Finalizing Production.
  • Freelance Agent Specific Flow:
    • Approved orders move to Awaiting Invoicing.
    • The Tailor must confirm that invoicing has been completed offline before production begins.

This review allows the tailor to confirm three important elements of each order:

  • Product review: ensuring that product and fabrics will be delivered (select “I have reviewed all selected products”)
  • Pricing review: ensuring that prices are aligned with manufacturing costs and marketing prices (select “I have confirmed all products prices”)
  • Measurement review: ensuring that measurements are clear and not unknown (select “I have verified all customer measurements”)

Step 6.1: Invoicing confirmation (Freelance only)

Section titled “Step 6.1: Invoicing confirmation (Freelance only)”
  • The Tailor confirms that an invoice has been issued offline.
  • Order status updates to Finalizing Production.
  • Once production is complete, the Tailor clicks “Complete and Ship.”
  • Shipping details (courier, tracking number, URL) may be entered.
  • Order status updates to Completed.
